What Documents Must a Florida Condo Association Post Online?

Covered Florida condo associations must publish specified governance, financial, meeting, contract, and building-related records. Use the current statutory list to establish your association’s checklist.

Which document categories are included?

Section 718.111(12)(g) includes:

  • Governing documents and amendments.
  • Approved board minutes and video-conference recordings or links for the preceding year.
  • Contract and bid lists, plus qualifying bid summaries or copies.
  • Budgets and specified financial statements.
  • Director certifications and conflict-related records.
  • Meeting notices, agendas, and materials.
  • Specified inspection reports, the applicable SIRS, construction permits, and required affidavits.

This is a category summary; consult the full list for details and applicability. Official document requirements.

When must documents be posted?

The general posting period is 30 days after receipt or creation unless a shorter period applies. Owner-meeting notices and agendas generally require 14 days; specified owner-meeting materials require seven days. Board-meeting deadlines differ. Source: §718.111(12)(g).

Turn the requirements into an operating checklist

For each category, create a tracking entry containing:

Field What to record
Responsible person Who obtains the document
Reviewer Who checks it before publication
Trigger What starts the publishing task
Due date The applicable deadline
Location Where owners will find it
Completion evidence How the board confirms publication

Avoid a checklist that only records whether a folder exists. A folder can be present while its contents are incomplete or outdated.

Review before publishing

Required documents may contain restricted information that must be redacted before posting. Source: §718.111(12)(g)3.

Build review into the workflow. Give the reviewer enough time to identify issues before the deadline.
