Can We Use Google Drive for Our Florida Condo Association’s Records?
Google Drive can be part of an association’s records workflow, but using it does not by itself establish compliance. Evaluate the complete setup, permissions, publishing process, and owner experience against your association’s requirements.
Florida’s condominium statute sets requirements for the online system and protected access. A familiar storage brand alone does not answer whether a particular configuration meets them. Source: Florida Statutes §718.111(12)(g)
Start with how your board actually uses the drive
Shared storage can be convenient for working drafts, spreadsheets, and collaboration. Problems arise when nobody can distinguish working files from approved documents.
Consider this example: the treasurer uploads a revised budget, but owners still receive a link to an older version. Both documents exist. The publishing process has failed.
Before changing tools, identify where that process breaks down.
Run a practical access test
Ask someone using an ordinary owner account to complete these tasks:
- Find the current approved budget.
- Locate the governing documents.
- Identify the next meeting’s materials.
- Open a document on a phone.
- Confirm that editing is unavailable.
Then test the administrator’s responsibilities:
- Who approves a document before publication?
- Who checks for information that should not be shared?
- Who updates permissions?
- Who identifies missing or outdated material?
- Who takes over when the primary volunteer leaves?
Record the results. A setup that works only when one director explains it needs improvement.
When does a dedicated portal make sense?
Consider a dedicated system when your board spends more time maintaining access, tracking outstanding work, and answering document requests than it can comfortably sustain.
Compare the total effort required each month, including any spreadsheets and reminders maintained outside the storage platform.
Where Florida1021 fits
Florida1021 combines an owner portal with a board-facing compliance progress indicator and calendar alerts. Evaluate those features against the work your board currently handles manually. See Florida1021.
Bring your current folder structure to the demonstration. Ask how the proposed setup would make approved documents easier to publish and find.
